    The City of Coral Springs, FL , is soliciting sealed responses for Annual Arts & Crafts Festival. Responses are to be submitted via the City's eProcurement Portal via https://procurement.opengov.com/portal/coralsprings PRIOR TO 2:00 pm on Wednesday, May 6, 2026. Late responses will not be accepted.

    Project work includes The City of Coral Springs is seeking Requests for Proposals (RFPs) from qualified companies for the operation and management of an Art and Craft two (2) day Festival. The festival’s location will be at Mullins Park, 10000 NW 29th Street occupying multiple natural and artificial turf fields, and additional park footprint. The City is looking for an annual Art and Craft Festival.

    Evaluation Criteria

    • Scope of Services Proposed (40 pts)

      Clearly describe the scope of services proposed including details of your approach and work plans.  A brief statement is to also be included which explains why your approach and plan would be the most effective to meet the project objectives and beneficial to the City of Coral Springs.  This portion should also include a project schedule.

    • Firm Qualifications (30 pts)

      This section of the Proposal should briefly introduce and give a description of the firm, including the size, range of activities, etc.  Particular emphasis should be given as to how the firm-wide experience and expertise in the area managing and operating a multi-day Annual Arts and Crafts Festival may be brought to bear on the proposed work.  Describe the firm’s experience and provide a list and description of events.

      Also identify the supervisory personnel who will work on the project along with an organizational chart.  Resumes of each person that will be assigned to the project should be provided with emphasis being given to their experience with similar work.  If resumes are not available at the time the proposal is submitted, you should provide a listing of qualifications, including education, certifications, experience, etc., that will be required.  List the name and location of the Arts and Crafts type festivals proposer currently operates, including the number and mix of participating vendors. 

    • Experience & References (15 pts)

      Provide a minimum of two (2) references of similar size and scope that were satisfactorily performed within the last five (5) years, governmental references are preferred.  For each engagement provide a completed Reference Verification Form from the companies or governmental agencies that the services were provided to.

    • Revenue Sharing (10 pts)

      Points will be awarded based on the highest percentage provided to the City.

    • Local Preference (5 pts)

      In accordance with section 2-302 and 2-307 of the City of Coral Springs Purchasing and

      Procurement Code a proposer with a physical business location within the municipal boundaries of Coral Springs, Florida shall be granted a preference in the amount of five (5) points with submission of a valid business tax license.

    • Best Value Scoring (2 pts)

      The Evaluation Committee will score responses from “1” being the highest ranked proposer, “2” for the second highest ranked proposer, and so on, for the total number of responses under consideration. The Proposer with lowest combined score will be deemed as the highest ranked proposer.

    Q (Insurance ): Regarding insurance. I understand what's required, the limits, etc... In the professional event production arena, we get certificate of insurance per venue we do business with and specific to that event name and date. If we are awarded the contract we can certainly add Coral Springs to our insurance and provide a copy of the COI with additional insured, proper limits, etc. However before be awarded we would not have a COI to produce for you. Please let me know how to proceed regarding this topic and submitting this RFP?
