    The San Gabriel Valley Food Services Cooperative Purchasing Group (Co-Op), is seeking proposals from qualified companies to procure and deliver frozen, refrigerated, processed commodity and/or commercial food products to receiving sites within the member districts.Proposals are requested for furnishing the San Gabriel Valley Food Services Cooperative Purchasing Group (Co-Op) member districts, for Frozen and Refrigerated Food Products for the period of July 1, 2026 through June 30, 2027, with the option to renew for two additional academic years (year 2: July 1, 2027 through June 30, 2028, year 3: July 1, 2028 through June 30, 2029). Each member district reserves the right to determine purchase amount based on the member district’s operational need.Proposals must be verified before submission, as they cannot be corrected or withdrawn after opening. All signatures must be provided in longhand ink or electronically signed. Proposers are responsible for fully informing themselves of all existing conditions and limitations. No allowance will be made for lack of such examination or knowledge. All proposals must be submitted in sealed envelopes clearly labeled with the vendor’s name, the RFP title and number, and the submission due date and time. Proposals may also be submitted online by the submission due date and time on Planetbids. It is the vendor’s sole responsibility to ensure timely delivery. Proposals received after the deadline will be returned unopened. No oral or telephone modifications to any submitted proposal will be accepted. Bidders may bid on one or both categories. One (1) winning distributor in each category will be awarded for all member districts in the Co-Op. A second distributor may be awarded as a backup. A backup distributor will only be used when the winning distributor is unable to deliver the item(s) ordered by a member district on a regularly scheduled delivery date. Furthermore, in the event that the winning distributor is unable to fulfill the contract requirements thus resulting in a cancellation of the original contract between the winning distributor and the member district(s), a backup distributor may enter into a contract with a member district upon mutual agreement without re-submitting another proposal. Proposals made in this RFP by the backup distributor shall stay effective till the end of the contract term. Each individual member district will act as the sole judge on whether the contract requirements are met to the district’s satisfaction. This RFP defines the program, the products, and the services that are being sought from the Distributor and generally outlines the program requirements.The selected vendor(s) will partner with the Co-Op member districts over the term of the contract resulting from this RFP to procure and deliver frozen, refrigerated, processed USDA Commodity and/or commercial food products to sites designated within the member districts (see Appendix for individual member district profile).The Co-Op may accept new school district members prior to annual renewal of contract. No piggybacking will be allowed. Special Notices: The Board reserves the right to reject any and all bids and/or waive any irregularity in any bid received. If the District awards the Contract, the security of unsuccessful bidder(s) shall be returned within sixty (60) days from the time the award is made. Unless otherwise required by law, no bidder may withdraw its bid for ninety (90) days after the date of the bid opening.
