Maintenance, Repair, Body Work & Paint for City and School Commercial Vehicles FY27
The Contractor shall provide all management, supervision, parts and labor necessary to provide Maintenance, Repair, Body Work & Paint Services as needed for Cambridge City and School Commercial Vehicles including, but not limited to:
Ford Dump and Utility Trucks
Freightliner Dump Trucks
International Dump Trucks (Models include CF600 and 4400)
Peterbilt
Freightliners
Mitsubushi Fuso
Freightliner Utility Vans
Wacker Neuson Excavators
Holder Multi-Use Tractors
John Deere Loaders and backhoes
JCB Loaders and backhoes
Bobcat loaders
ATV Vehicles
Lawn Mowers
Tractors
Snow blowers
Natural Gas forklift
Hydraulic Salt/Sand Spreaders
Caterpillar Backhoe
The City Department will notify the contractor that there is a vehicle needing repairs and the contractor will respond within 1 business day.
When a vehicle is rendered unsafe to drive due to body damage, the contractor will arrange for transport of that vehicle by tow truck at the pre-determined transport rate outlined in the bid.

Utilize OEM or approved equivalent scan tool and computer software to diagnose and repair all computerized systems on City vehicles.

Alignments/Steering and Suspension
Computerized 2 or 4 wheel alignment
Adjust camber and caster on all vehicles
Check and adjust thrust angles.

Hybrid and Battery Electric Vehicles
Diagnose and repair all components related to hybrid drive and battery electric drive systems on City vehicles, including but not limited to aftermarket systems such as Odyne and XL Fleet Hybrid drive systems.
Hydraulic Systems
Diagnose and repair all components related to hydraulic vehicle systems, including but not limited to repair and replacement of hydraulic cylinders, replacement of custom hoses/fittings, and rebuilding/replacement of hydraulic valves.
Massachusetts State Inspections
Bidder must be licensed by the State of Massachusetts to perform the annual MA Vehicle Check inspections.
Equipment for General Repairs
The shop shall have all required OEM or equivalent capable software and tools to diagnose and repair all systems within the City fleet. Current subscriptions to OEM’s such Ford, Cummins, International, Mack, as well as diagnostic systems such as Alldata, or Mitchell, to show the shop is up to date with technology. The shop should be equipped with a Computerized alignment system as well as all specialty tools required to perform the work within the scope of services. The shop must have the ability to utilize a mobile device, tablet, smartphone, etc in order to capture relevant inspection data into the FleetioGo application.
Parts
All parts used must be original equipment manufacturer unless specified by bidder during diagnosis/quote/repair process.
Professionalism & Training for Vehicle Repair
The contractors repair shop shall offer a written warranty on their workmanship. The shop must be staffed with properly trained employees, ASE Certification or manufacturer training/certification preferred.
Payment
Invoicing is accurate and comports with bid requirements and is sent directly to the appropriate City department. All invoices must detail labor and parts and supplies used for the purpose of repair. All invoices must include the referenced vehicle as well as printouts from diagnostic and/or alignments performed. Rates shall comply with the price proposal submitted with this bid.
The actual invoice shall include line item detailed with information including the cost of the parts and the number of hours required for labor.
Delivery
No mileage charges or fuel surcharges shall be allowed for any and all repair work. There shall be no pick-up, delivery or transport charges for repair work except in the case of a major overhaul when such charges shall be included in the written estimate for prior approval. In instances of on-site repair, the hourly labor rate shall apply.
A Fixed Fee Pickup and Delivery Charge May be included. This charge shall include pickup/delivery from any location within Cambridge to the vendors facility and be identified in the Bid.

All City and School Departments may use this contract as needed for auto body repair. The vendor shall perform services for all City Departments according to the specifications in this bid document and invoice the department directly.
Equipment for Body Work & Paint
The auto body shop shall have modern equipment and current technical reference materials to show the shop is up to date with technology. The shop will need a three-dimensional measuring system to measure the height, width and length of the vehicles structure.
The body shop must have available to them the technology to calibrate manufacturers ADAS and other body systems as necessary.
The body shop must have available the ability to replace door glass and windshields as necessary.
The body shop must have the equipment necessary to perform repairs to all hybrid and electric vehicles as necessary.
All parts must be new and purchased from the original equipment manufacturer or authorized re-seller.
Cleanliness for Body Work & Paint
The auto-body shop shall be clean, neat and well- lit. Cleanliness is essential, since dirt and other debris will show in fresh paint.
Professionalism & Training for Body Work & Paint
The contractors auto-body shop shall offer a written warranty on their workmanship. The auto-body shop must be staffed with properly trained employees.
Damage Report for Body Work & Paint
The auto body shop shall inspect the vehicle and provide an estimate before starting the repairs. The estimate must explain in detail, what damage was done to the vehicle and how it will be repaired. The City will review the estimate and provide authorization to proceed.
All vehicles must be restored and repaired to their pre-accident condition.
Payments for Body Work & Paint

The bidder’s repair facility is located in Cambridge or within 1.5 Hours Driving Distance of Cambridge City Hall, 795 Massachusetts Ave.
The Bidder has a secure facility to ensure proper security is provided for all City and School vehicles that are part of this bid.
The bidder has been providing vehicle maintenance and repair services similar to those described in this Invitation for Bid to two (2) large commercial and one (1) governmental account for a minimum of one year.
Maintenance and Repair Services for the City/ School will be completed by an experienced, certified mechanic. Please provide a list of certifications/training completed by staff.
The bidder has the special tools and diagnostic equipment required to perform all related tasks. Please include copy of the subscription/license info for all diagnostic tools and equipment.
The bidder has liability insurance and worker’s compensation insurance as required by law.
The bidder will provide a 12-month warranty on all repairs, parts and labor.
The bidder is licensed by the State of Massachusetts to provide the MA Vehicle Check Commercial Inspections. Please include current copy of inspection license.

All prices include a 120 – day warranty for parts.
The bidder will provide a four (4) year warranty on body refinishing.
