    Description

    Purpose To establish an Indefinite Quantity Agreement for Services on an as needed basis. The estimated dollar amount to be spent on this agreement is up to and not to exceed $50,000.00. This is an estimate of the annual needs of the City under this Agreement and are for bidding purposes only. This estimate is not to be construed as representing an actual order for that amount, or a guarantee that any minimum amount will actually be purchased. The City has the right to award multiple vendors. Subsequent to the acceptance of an offer, individual written purchase orders may be issued as needed by the City to purchase items listed herein during the term of the agreement. At no time shall the obligation of the City agency exceed the dollar amount of any associated purchase order. The Agreement will expire on 3/31/2027. Any available funds not obligated by the City by means of a Purchase Order on or prior to that date shall be cancelled after that date. General Requirements and Services • Bidding vendor must submit itemized pricing for all applicable items: o Entire catalog of rental audio, lighting, video and stage equipment; o Transportation rates for delivery of rental equipment; o Labor rates for the set-up and operation of rental equipment; o Labor rates for maintenance and repair of City-owned equipment. • Bidding vendor to provide the City with a point of contact that can be reached during rental or service term. • Rental items and services will be provided per the needs of each event. • Pricing must exclude state and federal taxes. • Vendor must provide BWC and Insurance certificates. Scope of Work • Selected vendor(s) will provide the rental of audio, video, lighting, and stage equipment; delivery of equipment; labor; and/or maintenance and repair services, as needed, for the 2026 City of Columbus events. • Audio equipment may include items such as, but not limited to, touring grade stereo line array PA systems with subwoofers and options for in-fill/out-fill/front fill speakers, (JBL, EV, L-Acoustics or similar quality), power amplifiers, stage monitor wedges, in-ear monitor systems, digital mixing consoles (minimum 32 channels), microphones (instrument & vocal, dynamic & condenser), DI boxes (active or passive), wireless microphone systems (vocal & clip-on for instruments), CD player, Bluetooth/aux for music playback, intercom system, rigging equipment, power distribution, and all necessary stands and cabling. • Video production equipment may include items such as, but not limited to, cameras, remote PTZ camera systems, video switchers, graphics generators, real-time video projection systems, LED walls, LED screen trucks and trailers, power distribution, and all necessary stands and cabling.
