    Description

    Farmingdale State College (SUNY) intends to make an award under our discretionary authority, pursuant to NYS Education Law §355(5)(a), which is up to $125,000, for the above noted service. A sealed bid will not be held. If you are interested in providing a proposal for the above, please view the specifications below and submit a proposal to the Primary Contact listed in this advertisement by June 26, 2026 at 11 AM. Please submit all technical questions no later than Thursday, June 11. We will respond to all inquiries no later than Tuesday, June 16. Farmingdale State College is seeking a faculty activity reporting and academic affairs management platform to support faculty portfolio management, faculty reporting, applications, applied learning, institutional workflows, IRB processes, and related administrative functions. The solution must integrate with existing campus systems, including Banner, Brightspace, and Single Sign-On (SSO). The College currently supports approximately 1,000 users and utilizes modules including Faculty Reporting, Applications, Applied Learning, Institutional Tools, IRB, Documents, and Administration. Any proposed solution must provide for the retention and archival of all historical data from the current system. The anticipated implementation timeline and go-live date is October 1, 2026. Vendors proposing a replacement solution should describe any configuration, implementation, data conversion, training, and transition services necessary to support a successful migration from the College's current environment with minimal disruption to operations. Software Specifications Shall have a Faculty Reporting module which contains Teaching, Scholarship, Service, and Background modules for the Faculty to update and maintain their portfolios. Shall have customizable workflows and approval levels. Shall have Course Evaluations and Surveys with customizable questions and a rating scale. Must be able to create Rubrics with traits, customizable questions, and a rating scale. Must have customizable start and end dates for reviews and course evaluations, that only authorized administrators have access to. Must keep all historical data. Must be able to upload files, i.e., Docx, xlsx, pdf. Must have an application module where we can create our custom applications, i.e., Grant/Incentive/Award Applications, Course Applications, and Institutional Applications. Must have an Applied Learning Module for Internships. Must have an IRB module to submit research protocols. Must integrate with our LMS (Brightspace) and our SaaS (Banner). Software must also use Single Sign On (SSO). Must have support and maintenance for the length of the contract. Must be able to have modifications requested and completed if deemed necessary. Must have the ability to send out notifications electronically, such as email. Must provide a current VPAT demonstrating the accessibility of the proposed solution. Proposed solutions should conform to WCAG 2.1/WCAG 2.2 Level AA accessibility standards. For each web, mobile, or kiosk product/service included in your proposal, please be prepared to provide: Accessibility Conformance Report (ACR) Use the VPAT 2.5Rev WCAG (April 2025) format (or later, if updated). A third-party tested ACR is strongly preferred. The ACR should reflect the current production version and be dated within the last 12 months (or since the last major release). Gap List + Remediation Plan Identify any WCAG 2.1 AA and/or 2.2 AA gaps (based on whichever standard that applies). Provide a remediation roadmap with target dates for fixes (including interim mitigations, if needed) to align your systems with WCAG 2.1 AA and/or WCAG 2.2 AA.
