Please be aware that this is an extensive bid. All Suppliers are cautioned to allow ample time for the submittal of RFP responses well before the due date time requirement. Bids must be submitted via the eBid system. --- Q&A --- Q1: How do you currently manage, support, measure, and plan for your Aruba HPE wireless environment across campus and UI Health Care over the next 3–5 years—including your definitions of success (cost stability, fewer outages, faster incident response, easier co-term renewals), current pain points with Aruba support and SLAs across main campus, clinics, and satellite locations, incident tracking and reporting practices, scope and lifecycle of the existing Wireless Network Inventory (including anticipated decommissions, mid-term adds, hardware refreshes, new buildings, Wi Fi 7 plans), preferred contract term and termination flexibility (including early-termination expectations and key scenarios), required hardware SLAs and coverage model (critical vs. non-critical response/replacement/resolution targets, 24x7 vs. 5x8 coverage, and escalation paths between your team, the VAR, and HPE), how you envision roles and responsibilities between your internal IT teams, the VAR, and HPE (including expectations for RCA, design reviews, and CAB participation), any healthcare and compliance requirements that affect wireless support (HIPAA/PHI handling, BAA status, data residency/offshoring rules, logging and audit requirements), your preferences for pricing and commercial structure (flat vs. itemized vs. blended fees, Aruba hardware discount expectations, price vs. value tradeoffs, rebates), expectations for customer service, reporting, and value-added services (service metrics, QBR cadence and content, on-site engineering, training, cutover support, credits), internal procurement and legal constraints (key stakeholders, non-negotiable terms in your Standard Terms and Conditions, eSupplier onboarding, payment methods), and finally your current network management and visibility stack (which platforms you use such as Aruba Central/AirWave/GreenLake and any integrated third-party tools like SolarWinds, ServiceNow, or Splunk, how they are licensed, what standard and ad hoc reports, dashboards, alerts, RF health/heatmaps, and performance baselines they provide, and what happens to platform access and historical data if the contract ends)? A1: The University currently self manages the day-to-day network operations and will continue to do so. The items detailed in this question are not in scope of this bid. The bid scope if for a qualified Value Added Reseller (VAR) to provide support for our existing HPE/Aruba wireless access point infrastructure. We are not interested in additional services at this time. Submitted: 2/17/2026 09:14:34 AM (CT) Q2: Is the University expecting to self manage day to day network operations after deployment, or would the University consider a model where the partner handles operational management while HPE provides OEM support? A2: The University currently self manages the day-to-day network operations and will continue to do so, this is not in scope of this bid. Submitted: 2/13/2026 01:43:46 PM (CT) Q3: Is the University interested in optional pricing for a Managed Network Service model where the supplier provides end to end network management (monitoring, updates, incident triage) while still ensuring all hardware and software support is provided directly by HPE? A3: The University is looking for a qualified Value Added Reseller (VAR) to provide support for our existing HPE/Aruba wireless access point infrastructure. We are not interested in additional services at this time. Submitted: 2/13/2026 01:42:43 PM (CT) Q4: To confirm expectations, does the University intend for the awarded supplier’s role to be limited to procurement and pass through manufacturer support, or is the University open to partners providing operational network management or ongoing managed services in addition to the required HPE/Aruba support?
