With continued growth in attendance, sponsorship participation, regional visibility, and stakeholder engagement, the City seeks to partner with a qualified Consultant capable of supporting and elevating the next phase of the event’s growth and long-term success. The purpose of this solicitation is to secure a strategic professional partner that can assist the City in: • Enhancing the overall quality and execution of the Trade Summit; • Expanding sponsorship development and revenue opportunities; • Strengthening regional and national event positioning; • Improving attendee, speaker, and stakeholder experience; • Supporting marketing, branding, and outreach initiatives; and Delivering professional event coordination and logistical management services. The selected Consultant shall work collaboratively with City staff, elected officials, sponsors, partner agencies, vendors, and stakeholders to develop and implement a high-quality event that reflects the City’s strategic vision and economic development objectives. The Consultant shall provide services in a manner that is organized, fiscally responsible, implementation-oriented, and aligned with the City’s goals of promoting: • Cross-border commerce and international trade; • Economic development and regional investment; • Infrastructure and transportation opportunities; • Workforce and industry partnerships; and • The City of Eagle Pass as a strategic international trade gateway. The City intends to maintain full oversight and strategic direction of the Trade Summit, including all major policy, branding, sponsorship, financial, and contractual decisions. The selected Consultant shall operate under the direction of City Administration and shall coordinate all activities accordingly. The City intends to select the Offeror whose proposal is determined to provide the best value to the City. Evaluation and selection shall be based upon: 1. The evaluation criteria and weighted values established within this Request for Proposals; 2. The qualifications, experience, and demonstrated capabilities of the Offeror; 3. The Offeror’s understanding of the City’s vision and event objectives; and 4. The final ranking and recommendation produced through the City’s evaluation and negotiation process. Nothing contained within this RFP shall obligate the City to award a contract, negotiate with any specific Offeror, or proceed with the project in any manner other than determined to be in the best interests of the City.
