Oakland University is seeking proposals from qualified vendors for a to provide event rental services on an as-needed basis. The selected Preferred Vendor will supply and deliver rental items for university events, including but not limited to tables, chairs, tents, linens, and staging. This contract aims to ensure high-quality, reliable, and cost-effective event rental solutions for university departments and organizations. The contract awarded as a result of this RFP will have an initial term of three (3) years. The University, at its sole discretion, may exercise up to two (2) additional one-year renewal options. The total possible term of the contract, including renewals, shall not exceed five (5) years. Oakland University reserves the right to award contracts to multiple vendors as deemed in the best interest of the University. Vendors are not required to provide all categories of event rental items listed in this RFP. Proposals may be submitted for any or all of the following categories: tables, chairs, tents, linens, and staging. Awards may be made to vendors based on their ability to supply specific categories or types of items, and not all awarded vendors will necessarily be able to fulfill every event rental need. Submission Method, Date and Time One (1) copy of the proposal shall be submitted electronically. All responses must be submitted online via MITN, BidNet Direct . Proposals must be received by May 4th, 2026 @ 2:00 P.M. Eastern Time. Proposals will not be opened publicly. It is the firm’s responsibility to ensure that its proposal is delivered at the proper time and place. The document shall be 8 ½” x 11” format, no smaller than 11-point font, up to 35 pages, and should not contain unnecessary elaborate brochures or other presentations beyond those minimally required to present a complete and effective quotation. Expenses for developing and presenting responses to this RFP shall be the entire responsibility of the Supplier and shall not be chargeable to the University. All supporting documentation and manuals submitted with this proposal will become the property of the University. Unless otherwise stated above, proposals submitted are to be in accordance with the outline and specifications contained and are to remain in effect a minimum of 120 days from the date of submission, and may be subject to further extensions as negotiated. Submitted unit prices and labor costs are to be held for three years of the date of contract. OU reserves the right to accept or reject any or all proposals, and may cancel this solicitation at any time for any reason at the university’s discretion.
