    Description

    The City of Apopka Parks and Recreation is seeking Bids from qualified organizations/firms for Northwest Recreation Complex Sports Field Rentals, for 2026-A-275 to be received no later than Thursday, January 29, 2026 at 2:00 pm. Late responses will not be accepted. The City intends to award a contract to qualified Bidders; this is a multiyear contract with the initial contract term of 2 years with an additional 1 year extension available should both parties wish to renew the agreement. The City reserves the right to reject any and all bids and to waive any and all irregularity in any bid.

    The purpose of this Request for Proposals (RFP) is to identify experienced organizations to provide leagues, tournaments, and/or athletic programming that enhance community recreation opportunities, supports sports tourism, and maximize responsible use of the complex. The City intends to award up to two (2) organizations; each with an agreement providing priority rental and scheduling access to (3) assigned multi-purpose fields at the Northwest Recreation Complex. Firms/Organizations awarded under this Bid shall be awarded as follows:

    • The HIGHEST scored proposal shall be awarded the first contract. The contract will have a start date in Fall 2026. (Anticipated service start date of July 27th, 2026) 
    • The second highest scored proposal shall be awarded the second contract. The contract will have a start date in Spring 2027 (Anticipated service start date February 1, 2027) and is contingent upon completion of the park expansion which plans to bring additional multipurpose fields to the West of Pads 9-12 this 2026.

    Fields under these contracts are anticipated to be assigned to the Northern section of the park where Pads 9-12 currently are located. Additional field space is being constructed just to the West of Pads 9-12, which is also anticipated to be used to meet the requirements of these contracts. Please note that field assignments may change and can vary from season based on field conditions, scheduled field maintenance/projects, or any reason deemed necessary by the Parks and Recreation Department.

    Successful proposers will demonstrate organizational stability, proven experience in managing athletic organizations, events or leagues, the ability to coordinate schedules with City staff, and a commitment to maintaining a positive, family-friendly environment.

    Proposals will be evaluated based on the organization's leadership qualifications, program philosophy/approach, community benefit, organizations previous experience performance, and financial terms offered to the City. The resulting agreements will outline specific field use parameters, rental fees, scheduling priorities, insurance and safety requirements, maintenance responsibilities, and reporting expectations.
