    Description

    • Improve efficiency of board meeting preparation and administration.
    • Enhance collaboration among board members and district staff.
    • Increase transparency for the public.
    • Reduce manual processes and paper distribution.
    • Support secure access from desktop and mobile devices.
    • Maintain compliance with public records and accessibility requirements.
    • Provide long-term scalability and vendor support.

    Background

The current software being used to prepare and manage meeting materials no longer meets or supports the needs of the District.

Governing Board staff have experienced extensive recurring issues that negatively impact productivity, including frequent system errors, limited functionality, and processes that require unnecessary manual workarounds.

The District has also encountered challenges with vendor support, software updates, and "ongoing maintenance." Many changes being pushed as "new features and enhancements" have complicated the system and are essentially bloating the software with useless functions, leaving staff to rely on inefficient manual processes to accomplish essential tasks. The system utilized by the district prior to this involuntary switch had far better functionality and options, but unfortunately that software is no longer available, as the company was absorbed by the vendor that is currently used. We are looking for a program that provides features and integration to better serve the district, it's community and prevent further frustration for all.
