    Description

    REPOST OF PREVIOUS EVENT. Please review all solicitation documents prior to submitting a bid, as the scope and specifications have been revised and updated. Purpose. The purpose of this solicitation is to establish a contract for the Council on Asian Pacific Minnesotans (CAPM) for their 2026 Leadership Awards Dinner. The approximate number of attendees (including organizers and committee members) is 850. The State does not guarantee a minimum number of meals. Prices submitted in response are firm and will not be adjusted if the number of attendees falls below the estimate. The preferred date is: September 26, 2026. The alternate date(s) is: October 3, 2026 Insurance requirements for this event are listed in Exhibit B in the Sample Contract and Exhibits document. Limitations on Geographic Location: Venue located within the 7-County Twin Cities Metro Area (Anoka, Carver, Dakota, Hennepin, Ramsey, Scott, or Washington County). Parking Limitations. The parking facilities must provide ample parking capacity to accommodate all attendees. It is preferred that parking be provided at no cost to the State and event attendees, and should consist primarily of a surface parking lot with sufficient on-site capacity for approximately 850 attendees. The parking area should be physically connected to the venue building or located in close proximity, with clear and convenient access to the main entrance, and must be clearly visible from the main entrance. Parking ramps are acceptable, but surface parking lots are preferred. Contract Term. The Contract Term will be from the date of contract execution through December 31, 2026, with the option to extend an additional 12 months. Alcoholic Beverage Consumption. The Contractor must maintain a current Minnesota Liquor License as required by Minnesota Law. The Contractor is responsible for compliance with all security requirements and required by law to follow all applicable state laws and city ordinances for security requirements for hosting events that are selling or serving intoxicating beverages; including, but not limited to, providing necessary security personnel and having the required insurance. The sale and service of alcoholic beverages is regulated by the Minnesota State Liquor Commission. As a licensee, the Contractor is responsible for the administration of these regulations and as duly licensed by the State. Consumption of alcoholic beverages is restricted to persons of legal age as determined by the State and the Contractor reserves the right to challenge the age or identification of any individual. Cancellation Policy. State on the Price Schedule in dollar amounts any charges that could be applied if the event is cancelled for any reason other than for insufficient funding per Exhibit A, Paragraph 3.3. If no charge is indicated on the Price Schedules, the State will not pay any cancellation fee. The cancellation fee includes all cost associated with meeting rooms, catering, audio visual equipment, and all other expenses that may be incurred by the Contractor under the Contract Terms. If the event is cancelled, the State reserves the right to reschedule a new event date upon mutually agreement with the Contractor. Submitting Questions.
