Collier County Growth Management Community Development Department located at 2800 North Horseshoe Drive, Naples, Florida 34104 is requesting a quote for printing/mailing services for Zoning property owner notification letters for our Fiscal Year 2027 (10/1/26 – 9/30/27).
The number of mailings, and the number of records in each mailing will vary. We cannot guarantee the number of records in each mailing but based on a sample of property owner letters mailed in the last few months, 30% of mailings contained less than 100 records, 60% of mailings contained between 101-1000 records, and 10% of mailings had greater than 1,001 records. The total expense for last fiscal year was approximately $65,000; however, this may not be indicative of future expenditures.

Statutory Limits of Florida Statutes, Chapter 440 and all Federal Government Statutory Limits and Requirements
Evidence of Workers’ Compensation coverage or a Certificate of Exemption issued by the State of Florida is required. Entities that are formed as Sole Proprietorships shall not be required to provide a proof of exemption. An application for exemption can be obtained online at https://apps.fldfs.com/bocexempt/
For each mailing, the County will provide a letter template in MS Word format as well as a list of potential property owner addressees/addresses for the mailing in MS Excel format. The selected vendor will filter the list of potential addresses, eliminating duplicates, and undeliverable or missing addresses to arrive at a finalized list of recipients, and will complete the following:
A valid business tax receipt, current W-9 form and proof of general, auto and workers comp insurance will be required from the winning bidder.

$1,000,000 single limit per occurrence, $2,000,000 aggregate for Bodily Injury Liability and Property Damage Liability. This shall include Premises and Operations; Independent Contractors; Products and Completed Operations and Contractual Liability.
To the maximum extent permitted by Florida law, the Contractor/Vendor shall defend, indemnify and hold harmless Collier County, its officers and employees from any and all liabilities, damages, losses and costs, including, but not limited to, reasonable attorneys’ fees and paralegals’ fees, to the extent caused by the negligence, recklessness, or intentionally wrongful conduct of the Contractor/ Vendor or anyone employed or utilized by the Contractor/Vendor in the performance of this Agreement.
