    The City of Cambridge would like to invite you to submit a proposal for RFP for Cemetery Management Software Solution.     Evaluation Criteria

    • CRITERIA 1: Cemetery Employee User Interface (1 pts)

      Highly Advantageous:  Software presents the cemetery records in a way that is clear, concise and easy to understand.  The interface and language used by the software can easily be understood by a cemetery employee.  The software can be used with minimal training (approximately 8 hours) by someone with a high school degree or equivalent and minimal experience working with cemetery records.

       

      Advantageous: Software presents the cemetery records information in a way that is clear, concise and easy to understand.  The interface and language used by the software can be understood with moderate training (approximately 16 hours) by a cemetery employee with a high school degree or equivalent and some experience working with cemetery records.

       

      Not Advantageous: The software does not present cemetery data in a way that is clear, concise and easy to understand.  The interface and language used by the software cannot easily be understood by a cemetery employee without extensive training.  

       

      Not Acceptable: The user interface is confusing and the navigation is complicated. Even with extensive training, the cemetery employee would find the user interface to be frustrating.

    • CRITERIA 2: Public User Interface (1 pts)

      Highly Advantageous: The software has a public user interface that is well designed, clear, concise and easy for the public to use.  A member of the public can easily look up the location of a burial site by the name of the person buried or other interment information.

       

      Advantageous: The software has a public user interface  that is easy to use.  A member of the public can easily look up the location of a burial site by the name of the person buried.

       

      Not Advantageous: The public interface for the software is not easy to use and is not well designed.  The public may struggle to look up the location of a burial site by name.

       

      Not Acceptable: The software does not have a public user interface.

    • CRITERIA 3: Financial Tracking (1 pts)

      Highly Advantageous: The software has a robust system for tracking revenue.  Fees can easily be added, modified or adjusted by the user.  The system provides detailed reporting on revenue. The reports can be customized by the user.

       

      Advantageous: The software is able to track revenue.  The customer cannot add new fees.   The system has financial reports that are not able to be customized by the user. 

       

      Not Advantageous:  The revenue tracking is hard to use, hard to configure and not adequate for the needs of the Cambridge cemetery.

       

      Not Acceptable: There is no ability to track revenue in the software.

    • CRITERIA 4: General Software Functionality (1 pts)

      Highly Advantageous: The vendor answered yes to all the software functionality listed in the General Requirements Section.  The vendor was able to demonstrate the functionality in the vendor’s demonstration.

       

      Advantageous: The vendor answered yes to at least 18 out of 24 questions in the General Requirements Section.  The vendor was able to demonstrate the functionality in the vendor’s demonstration.

       

      Not Advantageous: The vendor answered yes to at least 12 but less than 18 out of the 24 questions in the General Requirements Section and was able to demonstrate the functionality of the features they answered yes to.

       

      Not Acceptable: The vendor answered yes to less than 12 of the questions in the General Requirements Section or the vendor was unable to satisfactorily demonstrate the functionality of the questions where the vendor answered yes.

    • QUALITY REQUIREMENTS

      Vendor has a dedicated customer support team that is available for at least 8 hours between 7:00 AM and 5:00 PM EST, M-F.

      Vendor has been a provider of cemetery software for 5 or more years.

    • Quality Requirement 3 (required)

      The solution proposed by the vendor is cloud-hosted, not hosted by the customer.

    • Quality Requirement 4 (required)

      The vendor can provide three positive references from clients in the United States.

    • REFERENCES

      Bidders shall submit a list of three references for which the bidder has supplied similar services. References shall include contact information including contact name, addresses and telephone numbers for each to inquire as to their satisfaction with the bidders’ product and service. In addition, the City reserves the right to use itself as a reference, to contact references not listed and to otherwise perform its own due diligence when making a responsibility determination. A bid maybe rejected on the basis of one or more references reporting less than excellent past performance.
