Amendment 3:

Change of Submission Government emails:

Due to the possibility of Government shutdown, the following email has been added to the list of mandatory Government contacts for quote submission: Capt Rowan Thom, rowan.thom.1@us.af.mil Her email address has been added to Attachment 2 - Instruction to Offerors, as well as to the POCs of this posting. No other changes have been made at this time.

Amendment 2: 

1. The Questions and Answers from Site Visit #1 have been posted below, entitled "FA441725QHURL - Post Site Visit Questions Answered." Pictures of the space and a floor plan has been added IAW the answered questions, please see the attachment entitiled "Pictures and Floor Plan."
2. The SOW has been updated to reflect the answers provided. Please see "Attachment 1 - SOW v.2" in the attachments.
3. A second site visit has been scheduled for 26 September 2025 at 10:00 AM CDT. Please follow the procedures stated in Attachment 4 to be able to attend.
4. The questions due date has been extended to 29 September 2025 at 4:30 PM CDT.
5. The offerors due date for response has been extended to 15 October 2025 at 2:00 PM CDT.
6. The Oral Solicitation document, Attachment 2 - Instructions to Offerors Updated, and Attachment 4 - Base Access Procedures have all also been updated to state the changes herein.

The updated documents for Amendment 1 (description below) have been uploaded. Please see the "Soundside Club AV Install - Oral Solicitation Updated" and "Attachment 2 - Instructions to Offerors Updated." Both documents reflect the updated offeror due date for this solicitation. 

Amendment 1: The due date for offerors has changed from 15 September 2025 at 1400 CDT, to 02 October 2025 at 1400 CDT. Please note that the update is not yet reflected in the attached Oral Solicitation document and Attachment 2 - Instruction to Offerors. These updated documents will be uploaded as soon as the current SAM upload issues are resolved. No other changes have been made.

The Soundside Club on Hurlburt Field, FL has a new requirement to completely replace all audio/visual (AV) components. The current system has met its life expectancy and no longer provides quality services. This is a non-apropriated funds (NAF) requirement.

Performance Requirements are:
· Remove and dispose of all audio/visual (AV) equipment.
· a-b-c ballrooms need to have the capability to be individual or combined
· Conference room can be overflow for main ballroom area with its own zone.
· Address wireless field boxes in place now for audio and replace with new digital display and touch controls for each room as needed for each ballroom to operate independently and combined. Equip each zone with 2 wireless microphones each and a wireless receiver.
· Replace all speakers in ballrooms, hallways, bathroom, and outdoors.
· Run all new appropriate CAT 6 and HDMI ethernet audio and video cables as necessary.
· Replace video components to attain at least 1920x1080 with four new laser projectors and new 130” retractable screens.
· Replace mixer, amps, displays, switches, etc. in the A/V Room. Existing rack may be used.
· Replace existing outlet / port in each ballroom with (2) HDMI, (1) USB C, and any other recommended audiovisual ports compatible with new devices and laptops.

Contractor must coordinate with Club Manager prior to any work being completed to not interfere with any contracted events.

Civil Engineering needs to approve project, power requirements, Fire and Safety review for project.

Note: the project is replacing existing equipment, so the need for additional power may not be necessary.
